Requesting a permit or exemption for visits to Rotterdam (and adjacent ports) is possible from the visit in Vessel Notification.
Requesting exemptions in the 'Exemptions' text field
It is possible to add an exemption to a berth of a visit. To do this, use the 'Exemptions' field in Vessel Notification.
The field is a text field where you can select an exemption by entering text. The text input is not case-sensitive and the results are based on a configuration. This means that for each berth, it is configured which exemption can be requested. This prevents an exemption from being requested for a berth where this is not possible or not required.

Feedback with 'Consideration' and 'General Information'
When selecting an exemption, a pop-up appears. In this screen, there are two possible information blocks: 'Consideration' and 'General Information'. These are not displayed for all exemptions; the display depends on the request.
For the 'Consideration', you must agree to the legal text associated with the exemption. Without agreement, it is not possible to request the exemption.
'General Information' contains additional information that can be used when requesting the exemption.

Filling in additional fields
After agreeing to the 'Consideration', additional fields related to the selected exemption will appear. By default, a number of general fields are shown, such as telephone number, email address, name of applicant, on whose behalf the exemption is being requested, and whether the exemption has been completed truthfully.
There is also space to provide a reason for the exemption or to note additional details. See the yellow highlighted fields in the image below for the exemption 'To be located or berth in an area where this is not permitted with a certain category of vessel.'
Furthermore, it is possible to add one or more attachments to all forms. For some exemptions, it is mandatory to include an attachment; if this is the case, this will be shown in the information icon next to “Attachment”.
In addition to the general fields, there are also fields that are specific to that exemption. These fields are marked in red for the exemption “To be located or berth in an area where this is not permitted with a certain category of vessel.” For all other exemptions, these are specific fields relevant to that exemption.
For each field, it is indicated whether it is mandatory or optional. Mandatory fields are marked with an asterisk (*).
Finally, for some fields, an information icon is displayed containing an explanation or instructions about the required input. By hovering the mouse over an icon, additional text appears.
Sending the exemption
Once all fields have been completed, the exemption can be sent to the Port Coordination Centre (HCC) via “Save & Send”. After clicking ‘Save & Send’, an email is generated and sent to the HCC, with the applicant in cc. This email contains all the entered values of the exemption, plus any relevant information already available in Vessel Notification (for example, the length of the vessel or the berth). The HCC will provide further feedback to the applicant by email.
Amending and cancelling an exemption
If a change is required, the relevant field can be adjusted, after which you must click ‘Save & Send’ again. In this case, a new email will be sent, with ‘Change’ in the subject line, so that the HCC is aware of the change made to the original exemption.
It is also possible to cancel an exemption. To do this, click the cross in the ‘Exemption’ field to start the cancellation process. The user will then receive a verification request. If this action is confirmed, the HCC will receive an email with the subject line ‘Cancellation’.
Multiple exemptions at one berth
It is possible to add multiple exemptions to a single berth. After selecting an exemption in the “Exemption” field, a new line will automatically appear where you can again select an exemption by entering text. This also applies to any additional exemptions.
