Submitting a document pre-notification

Select Add document.

Fill in the requested input fields; the mandatory fields can be recognised by an asterisk (*).
- Select Add if you want to enter additional transport equipment.
- Save the entered data by clicking Save.
- The shipment will appear in the overview screen with document pre-notifications.
Tip: You can upload multiple document pre-notifications at the same time. The required template, including the instructions, is at the top of the overview screen for the document pre-notifications.
The Transport Equipment field
When you pre-notify a container for a container terminal, you must enter the container number in the service (consisting of 11 characters: 4 letters followed by 7 digits).
For notifications for trailers, vehicles, or breakbulk, there are other input fields in addition to the container number:
- For accompanied transport: the licence plate of the tractor unit (without hyphens; enter NL-AB-99 as NLAB99).
- For trailers: the trailer number as indicated on the trailer.
- For other vehicles: the chassis number (VIN number).
If it is not clear how to enter the equipment number in a specific case, please contact the terminal or shipping agent.
Entering documents for a consolidation
You use this function for one transport equipment with multiple documents.

Next to Add document, click the arrow. Then select the option Add consolidation equipment

- Select Add if you want to enter another document.
- Save the entered data by clicking Save.
- The shipment will appear in the overview screen with document pre-notifications.
Details of the document pre-notification
You can find the details of the document pre-notification by selecting the Details or Edit button in the overview screen. The tab that opens includes, among other things, the creation date and whether the document number has been manifested.
Statuses in Notification Export Documentation
Equipment
No status: document pre-notification has not yet been submitted
Booking known: document pre-notification has been submitted and sent to the terminal
Booking unknown: document pre-notification has been submitted but not yet sent to a terminal. There is no terminal that has indicated it wants to receive this booking information.
Document
No status: cargo has not yet arrived at the terminal. The document number has not been reported to Customs
Accepted: the full cargo has arrived at the terminal. The document number has been reported and subsequently accepted by Customs
Rejected: the full cargo has arrived at the terminal. The document number has been reported to Customs and subsequently rejected by Customs Customs error codes in export services – Portbase Support
Setting up email notifications and screen language
With email notifications, you can stay up to date on your shipments without being logged in. Email notifications are not enabled by default. You can choose which notifications you want to receive.
