The following steps outline the procedure when using templates in Train Notification.
Process Agreements
For notifying the trains, a number of process agreements are followed:
- The terminal records all slot agreements in HCN Rail according to the timetable (the railway schedule).
- In week 3 of the current month, the slot agreements for the following month are recorded. For example: in week 24 (third week of June), the slot agreements for the month of July are recorded.
- The rail operator uses the slot agreements to create journeys. A rotation is a collection of visits to rail terminals in the Port of Rotterdam.
- 100% of the visits are notified by the rail operators.
- Every Thursday, the visits are notified for the following week.
This week runs from Tuesday 07:00 to Tuesday 07:00. For example: on Thursday 14 July, the visits starting on or after Tuesday 19 July 07:00 until Tuesday 26 July 07:00 are notified. - Ad hoc visits are also reported in HCN. This can be done at another time.
- The terminal reviews the notified visits, which are either accepted or rejected.
- The terminal does not reject journeys submitted according to a time slot.
- As long as a visit is not accepted, the Discharge List is not shared with the terminal. This means that container pre-notifications are queued in HCN and cannot be delivered or collected until the visit is accepted.
- The rail operator cancels a visit when the agreed time slot is not used. The visit is cancelled as soon as this is known to the rail operator.
Create a rotation
Create a rotation in which you refer the visit to the terminal's slot agreement.

Review the rotations in the operator screen
Generate rotations from the template for a chosen date range. Review these journeys in the rotation screen.
- On the left of the screen, the status of each visit is displayed.
- The aeroplane icon indicates that the request has been sent. A green check mark means that the pre-notification has been accepted.
- A red cross indicates that the terminal has rejected the visit. The visit can be adjusted and resubmitted.
- In the case of a rejected visit, the terminal will include a remark .
In the screen, you can also see how the requested visit relates to the slots.
In the overview below:
- ECT Delta visit is notified and matches the slot
- APMIITEST visit has a different ETD compared to the slot
- RWG visit has a different number of discharges compared to the slot
- The EUROMAX visit is an ad hoc visit, in other words, it has no slot
