The Veterinary Inspection Process service provides an overview that allows you to track the status of your CVED declarations and inspection: 

Inspection overview 

In this overview, follow the status of inspection-required cargo, including CVED number, equipment, inspection type, own reference, and Status. The overview offers various filter and search options such as inspection date or status to easily find the correct inspection. The filter settings are saved when you close the browser. 

By clicking the i-icon next to the status of an inspection request, you can see what the status of the inspection is. 

Tip: Do you want to view all new inspection requests? Then filter by status Requested.    

Details of an inspection and timeline 

Details and history of the inspection request are accessible via the details button. In the overview tab (see image below), all details of the inspection are listed. In the timeline tab, all events of this inspection are shown.

Creating an inspection

There are two ways to start with an inspection request:

  • from the Declaration Food and Consumer Products service 
  • add manually. 

Both methods are explained below. 

Manually register cargo details

From the overview screen, you can manually add the required cargo details via the Request inspection button at the top right. Fill in the fields of the pop-up screen (see screenshot below) and press Save. You can also directly select a time slot for the inspection. 

Tip: You can upload multiple requests at once. The required template and procedure are available in the service under the Upload CVED(s) button. This way, you can enter up to 200 CVED declarations at once.Request inspection in Veterinary Inspection Process

CVED declaration via the Declaration Food and Consumer Products service

From the Declaration Food and Consumer Products service, the cargo details are directly returned to the cargo overview of the Veterinary Inspection Process service. The declaration then has the status Saved.

Click on Details in the main screen at the declaration. You can then select a time slot at the inspection point. For each inspection point, all time slots where capacity is still available are shown. Select inspection point in Veterinary Inspection Process

The screen with the cargo information will then open automatically. Submit the inspection request via the Request Inspection button.

Inspection Status: Here you will find the current status of an inspection request. The following statuses are possible:

  • Saved (Grey): your cargo details are registered, no inspection request has been made by you yet. This is because the CVED declaration was added via the Declaration Food and Consumer Products service. 
  • Requested (Blue): your request is awaiting a response from the inspection point.
  • Rejected (Red): your request has been rejected by the inspection point for the time you requested. You must choose a new time and resubmit the request.
  • Accepted (Green): your request has been accepted and is scheduled for the time you requested.

 Inspection Point Status:

  • Saved (Grey): no status has yet been received from the inspection point.
  • Cargo arrived (Blue): your cargo has arrived at the location of the inspection point.
  • Completed (Green): The inspection has been completed.

When a rejection from the NVWA is issued on the CVED declaration, it is displayed as follows:

The inspection is then immediately completed, and you must first update the CVED declaration before you can submit a new request. 

Set email notification and screen language

You can set up email notifications in this service for the most important status changes. This way, you stay easily informed of important status changes without having to be in the Portbase service. Follow these steps:

  1. Open the user preferences (the round button with your initial at the top right of the main screen).
  2. Choose Notification settings
  3. Via the slider, an email notification can be turned on or off. This is saved immediately.

Email notifications are sent to the email address you see on your screen, which you can adjust by clicking Edit next to the set email address.   

Set screen language

Veterinary Inspection Process is available in Dutch and English. Each user can indicate their preference for this.

  1. Open the user preferences (the round button with your initial at the top right of the main screen).
  2. Under Language choose NL (Dutch) or EN (English)
