Managing B/Ls in Cargo Controller Import

Within Cargo Controller Import, your organisation can be linked to a B/L in several ways. In this article we explain how you can access this data and what options we offer.

Adding a B/L yourself

Any user can enter a B/L number in combination with at least one container number. Based on this information, Portbase retrieves information submitted by the carrier or agent on the import manifest. If it is known, Cargo Controller Import immediately shows all information (and all containers) that Portbase has available at that time: an Extended B/L.

B/Ls that you add yourself are immediately marked as Favourite, recognisable by the yellow star in front of the B/L number. You can also mark B/Ls that your colleagues have added as favourites by clicking the star.

A carrier, an agent or a client can grant a commercial release (via Secure Chain) to your organisation without your organisation tracking the container on the associated B/L within Cargo Controller Import. Based on this information, Portbase retrieves information that is available within the Secure Chain: a Basic B/L.

Use quick filters

As explained in the article Start with Cargo Controller Import, filter options are available. In addition, there are also Quick filters to quickly distinguish items on the main screen. For example, the My Cargo quick filter immediately selects all B/Ls that you have registered as a favourite.

Use labels

In addition to the quick filters, you can add a label for each B/L: a reference that makes it unique for your organisation. This makes it possible to distinguish between B/Ls. You can also apply a filter to the labels you have set.

You create a label by clicking the Label icon on the B/L. Then add unique or recurring labels; these are saved and you can filter by these values using the Labels filter.

Actively obtain full insight into cargo information and status

As indicated above, the way your organisation is linked to a B/L determines how much information you can see for a B/L. Cargo Controller Import tracks all B/Ls that are linked to your organisation as full (Extended Tracking) by default. Are not all B/Ls actively tracked within your organisation, but you do need this information? Then you can easily retrieve it by clicking the "Get access" button. See the image below for what this looks like.

How do I manage my B/Ls for my organisation (main administrator)?

The steps below can only be carried out by a main administrator.

You can manage the active tracking of B/Ls within Cargo Controller Import.

  1. Via the User menu, click Manage data access
  2. The Manage authorisations screen opens. Then click the B/L information tab
  3. Using the toggle, you can activate or deactivate full B/L information and statuses.
    By default, this setting is active. Any change impacts all new B/Ls that are tracked afterwards.
