Pre-arrival Cargo Declaration Import – web screen data input options

Quick views and filters

Quick views are filters that align with certain workflows and are probably the filters you use most. The other filters can be combined with the quick views, allowing for more precise filtering.

Action bar

In the action bar you can:

  • Search through all data. The search results can then be further filtered down.

  • Create a new B/L

  • View a count of every item that is available to you keeping in mind the current filters or search term. All B/Ls, House B/Ls and equipment.

  • Sort data

B/L row

From left to right:

  • Select the row through a checkbox

  • Expand or collapse the row contents

  • The B/L number and the type of the B/L

  • The Call reference number if a visit is attached. If the ‘Transport mode’ is ‘Road’, the vehicle identification number will be shown here.

  • The vessel name, not visible if ‘Transport mode’ is ‘Road’

  • The ETA of the first EU country and the country name

  • The place of loading

  • One or multiple statuss

  • A count of all equipment in the B/L

  • A count of all kilograms of all equipment in the B/L

  • Open the details panel

  • Open an extra options menu

Equipment row

From left to right:

  • Select the row through a checkbox

  • The Size Type of the container if applicable

Overlays

When clicking on a B/L number, Equipment number or on either of the arrow (>) icons on each row, a overlay panel will open with details.

The breadcrumbs depict where you are in the B/L > House B/L (if applicable) > Equipment structure. In the above example, you’re viewing equipment details that are part of the B/L displayed on the left.

To go to a layer ‘above’ in the structure, you can simply click on any breadcrumb on the left of the current layer you’re in.

Tabs with properties and lists

There are 2 types of tabs. One type is the properties part, visible on the ‘Details’ and the ‘Parties’ tabs. These can be both viewed or edited.

The other type are lists, in the above example visible on the ‘House B/Ls’, ‘Equipment’ and ‘Goods’ tabs. Lists contain items that can be clicked on to go a layer ‘deeper’ in the B/L > House B/L (if applicable) > Equipment structure.

To add an item to a list, for example a House B/L, Equipment or a Good, press the 'Add' button.

A new overlay will open where all the details can be added.

B/L Details

There are 4 types of B/Ls. The type of B/L influences the data you see in the overlays.

  • F10: Straight bill of lading for single filing

  • F11: Master and house bill of lading for single filing

  • F12: Master bill of lading single filing

  • F13: Straight bill of lading for multiple filing

In the table below will be explained what you see for what kind of B/L type.

Does Portbase send the Notification of Arrival (NA) to the STI?

Yes, if you are subscribed to the service Pre-arrival Cargo Declaration Import with Portbase, Portbase will send both the ENS (Entry Summary Declaration) and the NA (Notification of Arrival) to the STI. If you are not subscribed to this service, you need to take care of sending the ENS and NA yourself.
