Veterinary Inspection Process (VIP) features an overview which allows you to monitor the status of your CVED declarations and inspections:
Cargo overview:
Monitor the status of your cargo that is subject to inspection, including CVED number, equipment, type of inspection, own reference and Status.
The overview offers various filter and search options by status or inspection station which you can use to easily retrieve your declarations.
Status information in the cargo overview
By clicking on the ‘i’ icon next to the status of a request for inspection, you can see the status of said request.
An explanation of all the possible statuses is listed below:
Status Inspection:
This is where the current status of your request for inspection is listed. The following statuses are possible:

Status CVED declaration
If the NVWA has issued a rejection on the CVED declaration, it will be displayed as follows:
The inspection is immediately canceled and you will first have to update the CVED declaration before a new application can be submitted.
You can start with VIP in two ways. You can submit a full pre-notification from the Portbase service Declaration Food and Consumer Products or you can manually request a request for inspection.
CVED declaration via Declaration Food and Consumer Products:
If you submit a CVED declaration from Declaration Food and Consumer Products, you can indicate that you immediately want to generate a request for inspection. After you have logged in, the cargo details will appear in the cargo overview of VIP right away.
The data you have entered through Declaration Food and Consumer Products has been copied here, so the only thing you need to do for your request is select an inspection station and a time slot.
Manual registration of cargo data:
Via the button ‘Request inspection’ you can register the required cargo data. Complete the fields in the pop-up screen and press Save.
If you want to select a Time Slot immediately, you can do so whilst registering the cargo data or afterwards.

Details and timeline
You can view the details and history of the inspection request via the ‘details’ button. You will find all the details in the ‘overview’ tab. In the ‘timeline’ tab you can see all the events of this inspection.
If you do not process your CVED declaration via MVW, you cannot reuse your cargo data in VIP. You then manually create an inspection request and must then enter your CVED declaration.
For a single CVED declaration, you can easily process this via the web screen.
However, if you want to submit multiple inspection requests, this is a time-consuming task. We have made an Excel upload functionality available for this purpose, whereby you can process a series of up to 200 CVED declarations via one upload using an Excel template.
Manual registration cargo data:
From the overview screen you can manually register the required cargo data via the button ‘Request inspection’. At the bottom of the screen you will find the button ‘Upload CVED(s)’:

You will now see the screen where you can download the Excel template or, if you have already done so, directly upload the completed Excel.
Excel template
The template contains two tabs. The first tab provides an explanation of the values and which fields are required for processing. You use the second tab to fill in the data.
After you have pressed ‘Upload’, the data will be processed and a confirmation will follow if the data could be processed correctly.
Your cargo is now registered and you can now submit an inspection request.
You can submit a request for inspection by selecting a time slot at the inspection station of your choice via the ‘Select time slot’ button.
The date range can be specified at the top left at your own discretion; please note that by default, this is filtered at 7 days after the unloading date. You can also search by specific inspection stations.
For each inspection station, all the time slots that still have capacity are displayed. The capacity of the time slots is determined by the inspection station in this respect.
After you have made your selection, click on ‘Request inspection’ and the inspection station will be notified to follow up on the request.
Changing the request for inspection
You can always change a request by selecting a different time slot and next confirming this via ‘Request inspection’. The inspection station will be notified of the change and will reassess your new application.
Viewing the history of your request for inspection
The timeline allows you to view all events related to your request for inspection.
E-mail notifications
You can set up e-mail notifications for the most important status changes. This allows you to easily stay informed of important status changes:
By default, e-mail notifications are sent to the e-mail address of your PCS account. You can submit a different e-mail address via the ‘edit’ button.
Screen language
Veterinary Inspection Process is available in Dutch and English. Each user can select their own preferred language.
