Starting in the Port Community System (PCS)

Welcome to Portbase. You have joined our port community and can now use the Port Community System and our services.

Every Portbase service facilitates the exchange of messages between one or more parties. The platform (Port Community System) ensures that these processes take place in accordance with the established rules and connects parties with each other.

On this page, you will learn how to use the PCS in general. For example, how to log in, navigate and add users in the PCS. Plus, how to check the availability of the PCS and how we offer you ‘support’.

Create your new account

  1. Create your account in IAMconnected
    To get access in the PCS, you start by making an account in IAMconnected. IAMconnected is the service that ensures easy and appropriate access to the services in the PCS. You can create the account at https://www.iamconnected.eu/register.
  2. Activate your account
    After creating the account, you’ll receive an activation link. Click on the activation link. You can now select your new password in the window that opens. You must use MFA when logging in. You can find more information about the use of MFA here.
  3. Link your account to your organisation
    You can link your account to your organisation via the ‘Organisation management’ tab. Click on ‘Link to organisation’. You can then search for your organisation in the search bar and click on ‘Link me to this organisation’ to confirm. As soon as you’ve submitted this request, the administrator(s) of your organisation will receive a message for approval.
  4. Aprove with the link request
    After receiving the message, one of your administrators must approve the link request in IAMconnected. You can find this request in the blue bar under “Open request”.
  5. Let your administrator link your account to your services
    After approval you will receive a confirmation by email and your PCS account will be created within seconds. Your administrator can now give you rights in PCS.Tip!: inform your administrator that he/she can give you the rights in PCS.In PCS your administrator can link you to groups. You will not receive automatic communication when you access the services so the administrator must inform you about this himself.
  6. Your account is ready in IAMconnected and PCS (including authorisations)
    You can now use the services in PCS.
Logging into the PCS

Log in directly to the PCS

The first time you log into the PCS, you use your PCS account login details (organization, username and password) and immediately switch to IAMconnected. When you switch to IAMconnected, you will create a new username/password combination which you will subsequently always use to log into the PCS via IAMconnected. For more information about IAMconnected, please visit the special support page.

As the top-level administrator you will have received your organization name and username for your PCS account by e-mail from our Customer Service (approximately 2 working days after the request for a PCS service by your organization). You will also have received your password in a separate e-mail. You only use this to log in the first time and then switch directly to IAMconnected.

As a user, you receive login details (organization, username, and password) for your PCS account from your organization’s top-level administrator. Again, you only use this to log in the first time and then switch directly to IAMconnected.

Logging into the PCS

How do I use the PCS

Once you have logged into the Port Community System (PCS), you will be directed to the ‘My Portbase’ page. The Portbase dashboard.

Here you will find:

  • On the left-hand side: ‘My services’. Here you can see the services you have subscribed to.
  • ‘Organisation Management’: if you are the designated primary user, you can give users access to services here.

User Management

IMPORTANT: For user administrators and user managers only.

User Management allows your company to manage access to the services you purchase in the Port Community System (PCS). In the PCS under ‘Organisation Management’ you can easily:

  • Activate and deactivate users per service
  • Add and delete user groups
  • Amend company details

Adding user groups

  1. Select the menu ‘User groups’.
  2. Select ‘Add Group’.
  3. Under ‘User group name’, select the relevant service.
  4. In the field ‘Description’, you can name the group yourself.
  5. Under ‘All users’, you can choose the users you wish to include
    in this user group.
  6. Use the arrow key to add the selected users to the group ‘Users in group’.
  7. Save the details entered. Under ‘Service authorisation’, you can now set what the user group can do or see for this service.
  8. Select ‘Add’ to save what you have entered.

Changing user groups

  1.  Select the menu ‘User groups’.
  2. Select the user group you want to change.
  3. Select the users you want to add to the group.
  4. Use the arrow key to add the selected users to the group ‘Users in group’.
  5. Under ‘Users in group’, use the arrow key to select the users you want to remove from the group.
  6. Remove the selected users from the group using the arrow key.
  7. Save the details entered.
  8. Under ‘Service authorisation’, you can now set what the user group can do or see for this service.
  9. Select ‘Save’ to save what you have entered.

Working with support

You are currently in the Portbase support environment. Select ‘all services’ at the top right of the menu to view an individual service page. There is a Quick Start Guide on each individual service page. There may also be:

  • an instruction video
  • FAQs
  • reference data (required for specific services)

You can also use the ‘contact’ button to get in touch if you have trouble navigating through this environment.

Other elements of support

Availability of PCS

You will find ‘PCS availability’ at the top right and on the homepage itself. If there is any disruption to the digital process, you can find out what is going on here. You can also subscribe to automatic malfunction messages here.

This is how the Customer Service works

On the homepage you will find the ‘this is how the customer support works’ button. Here you can see the status of your question or report.

At the top right of the homepage you will find the ‘contact’ button. Here you will find the contact details of our Service Desk and other departments.
